Back Orders

How to create, manage and action back orders for when items are out of stock

If a customer wishes to purchase an item that is not currently in stock, this can be added as a Back Order from the POS.

Online orders for products on Pre Order, Allow Out of Stock Purchase or Supplier Stock will automatically create a back order.

Create a Back Order

If an item added to an order on the POS is out of stock, you will see the option "Add to back order".

A customer must be assigned to the order, otherwise you will see the below message.

You can add an optional internal note. Click Create Backorder then continue the sale as normal.


Manage Back Orders

On the navigation list on the left of the Back Office, go to Stock Control > Back Orders. This will show you a list of all Back Orders grouped by supplier.

Tap All Status to filter through Back Orders so you can see New, On Order, Stock available and Fulfilled. You can also filter by Suppliers and Stores.

The final 2 columns show the current status of the back order and available action to take

  • Request Stock - Create a new purchase order or add to an existing open purchase order

  • View Purchase Order - Opens the Purchase Order this back order is on

  • Fulfil Order - Marks the order has fulfilled, flags if payment is still outstanding

  • Request Additional Stock - option to add to a purchase order again if you have stock available however not enough to fulfil the order

Stock levels will not be updated on the product until the back order has been actioned as fulfilled


Request Stock from Supplier

Tap on Request Stock and select where you wish to request the stock from:

  • A new purchase order

    • Select which store the item needs to be delivered to

    • Alternatively, select to ship the item directly to the customer. This will add the customers delivery address to the purchase order

  • An open but unsent purchase order

  • If you have multiple stores/warehouses, and have stock in another store, you'll have the option to create a transfer request

After clicking Create/add to order. You'll be returned to the Back Order list, and the status of the back order is changed to On-order with the option to View Purchase Order. View the purchase order to save and send or mark as sent.

If Ship to customer is selected, this will be displayed on the purchase order. Once the supplier provides confirmation that the customer has received the goods, mark the purchase order as received and fulfil the item from the Back Order list.

To fulfil back orders for a single supplier in bulk, create a Purchase Order from the Purchase Orders page and select Add products from open back orders? This will add all items with an action of Request Stock on the Back Order list straight to the purchase order.

Items on a purchase order relating to a back order can be identified by the symbol, this can be clicked to show the order info in a flyout.


Fulfil a Back Order

Once the purchase order has been received (or stock levels have been manually amended), the status will update to Stock Available with the option to Fulfil Order | Request Additional Stock

If there is still a balance to to be paid when you select Fulfil Order, you will see a Pay Balance button, this will launch the POS with the order loaded.

Selecting Fulfil Order will clear the back order from the list and update the stock levels of the item.

Request Additional Stock allows you to follow the same purchase order process if you need order more stock to fulfil this order.
