Importing supplier products - Assign a stock collection

To import supplier products into your product list, use the checkbox to multi-select the items you wish to import. 200 products per page are listed. Import up to 200 each time per page. Once selected, tap the Import button in the top right.

Next, select where you wish your products to be available. The store name being on your POS/till, online being your eCommerce site. For multi-store retailers, all stores will be listed. Once selected, tap import in the bottom right, to import the products, which will then be available in your Active Products list (first tab)

👀 Important! - Suppliers must be assign a stock collection when initially importing products. Please import products from ONE supplier at a time, selecting the Supplier name for each. By ticking the supplier for the product(s), the stock level will be sync directly from the supplier via FTP setup. For suppliers who do not provide actual stock levels, a stock level of 100 is "in stock", and 0 is "out of stock". If you miss this setup, you'll need to manually assign the stock collection within each product.

The Stock collection can also be managed within the product page from the Stock section. You can tick or untick the supplier from within here to control which products supplier stock is assigned to. Supplier stock levels are shown on this page.

Feeds are ran daily so it is likely that the stock levels will start to pull through the day after you have added the stock collection to the product.


Display stock levels on the POS

On the POS, add an item to the order and tap the product tile to display a modal. Tap the Stock availability tab to display store and supplier stock levels.


Sell supplier stock online

If you do not have physical stock available but still wish to sell items as the supplier has stock, you can enable this from Online Store > Online Setup > Website Information.

Your Primary Warehouse is the main location stock is sold from - this is typically your store. You can set up multiple Secondary Warehouses. Any suppliers you have active feeds for will appear in the dropdown list. Stock will be sold from a Secondary Warehouse when your Primary Warehouse is out of stock.

👀 Important - Some suppliers do not want retailers to sell products they physically don't have in stock. Please check individual supplier contracts including Madison.


Processing an order

When a customer makes an online order for an item sold from supplier stock, it will automatically show in the Fulfil Orders page as a Back Order.

To order the stock, go to Stock Control > Back Orders. You will see the items listed under their supplier:

When you select Request Stock, there will be a flyout where you can either create a new Purchase Order or add to an existing one. You also have the option to ship directly to the customer from here. Once the purchase order has been received, you can fulfil the order in the Back Orders

The shipment will update to a status of Unfulfilled and you can progress as normal
