Process and manage a sale on the POS app

How to process a sale on the POS app from start to finish (with everything you may need to know along the way!)

Add items to an order

To add an item to the order either:

  • Scan the barcode of an item using a barcode scanner anywhere on the page

  • Search for the barcode (min 4 digits)/SKU/model number and item name in the search bar

  • Use the Quick Keys/Category tiles to locate the item and tap the tile.

By default, quick key products are displayed. To toggle between quick keys and product categories, tap between the key icon button and grid icon button as shown in the action row below.

When adding a product with variants, a modal will ask you to select the variant(s) you require for that product before adding the item to the basket.

Adjust item pricing, quantities and tax rates

Once an item is added to the order, tap the basket item to launch the details modal. The first Details tab allows you to change the quantity, override the item price (you may wish to use discounts instead) and change the tax rate.

Tip - If a customer has lost their receipt and wasn't added as a customer to the order, add the item being returned to the order and tap View sales history from the modal shown below. This filters the sales history list to show only sales that include that item, you can then filter the list further using the date range.

Check stock levels and item information

From the same modal above, tap the Description tab to view the product summary and description to find out further details about the product then the Stock Availability tab to view the stock levels for all variants within that product across all your stores. Tap Sales note to add an internal note. This is saved to the notes field on the product in the back office, and is not used externally such as receipts.

Remove an item

Tap the bin icon to remove the individual item from the basket.

Display low stock level alerts

To display low stock level alerts on basket line items, ensure the option is enabled from POS Settings then enable Display stock level alerts? Beneath the product information, low stock is displayed when:

  • The item reaches its re-order point

  • Last of stock | Only 1 left

  • Out of stock with the option to add to back order

  • The stock available if adding a quantity to sell that's greater than the stock available


Add a quick sale

For quick sale items, tap Quick sale on the bottom action row.

Input the total, a description and set the tax rate. Tap Add refund for a negative line item or Add sale for a positive line item. Quick sales are for items not in your inventory or one-off items.

We recommend only using Add refund if you've recently switched to Saledock and the original order was on a previous system.


Add a discount

For whole order discounts, tap Discounts on the bottom action row.

Add a fixed amount or percentage discount and give a reason for the discount. Discount reasons are configurable from the back office Settings > POS configuration page.

For line item discounts, ensure the option is enabled from the app Settings then Item Discount Enabled? If the option is enabled, you'll see a discount icon on each basket line item. Tap to display the same modal as above.

Once the discount is applied, the original price and the discount price is displayed. This is also display a a discount line on the total to pay section beneath.


Sell a gift card / gift card balance

To sell a gift card or check the balance of an active gift card, tap Gift cards on the bottom action row.

Scan a barcode or manually input a code then tap Check.

If the code is already active, meaning it's been purchased, the balance will be displayed, along with the option to top up the balance if the option has been set in the back office Gift cards section.

If the code is available, the value will be displayed if it has a value specific from the back office. If the gift card value has not been set, input the custom amount to add the gift card to the order.

When creating a Saledock generated gift card from the back office with a predefined value, a code and barcode is automatically generated. You do not need to tap the Gift cards button to scan the barcode, scan as you would a product. Please view the gift card help centre on how to create gift cards in the back office.


Void an order

To void an order, tap Void in the top right. Confirm you wish to void the order from the modal and the order will be deleted. The order will no longer be available, this action can't be undone.


Save for later

If you may need to retrieve an order at a later date, you may wish to park the order. Tap Save for later in the top right. Confirm you wish to save the order from the modal and the order will be created. Stock levels are not updated and the order is not committed to financials. To retrieve the order later, go to Sales history and filter the status to Saved to finding the order easier.


Add a note or reference

To add a note or reference, tap the 3 dots in the top right and select either option. This information is included on customer receipts if the option has been enabled from the back office receipt template page.


Add a customer

To add an existing customer to the order, search by customer name, company name, account number or postcode. Matching results will be displayed in list. Select the relevant result to add to the order. The search functionality searches across all customer accounts in the back office so will retrieve customers from all stores if you are a multi-store retailer.

Alternatively, add a customer customer by tapping the +customer icon to the right of the search input. You'll be navigated to a new view where you'll enter customer details. Please refer to the customer profile article on how to add and manage customers.

Once a customer is added to the order, tap the x to remove the customer, you'll be prompt with a confirmation modal. Tap the information icon to the right to view customer details.

The customer details modal displays customer contact information, total sales values, loyalty points, store credit, account balance and a button to view the full customer profile. You can also redeem loyalty points described below in the next section.

If a customer has a loyalty balance, the balance is also displayed as a teal banner below the customer name. Tap the banner to launch a modal displaying a list of all active on account sales, with a link to each order number and the option to continue and pay each order.


Redeem loyalty points

To redeem customer loyalty points, first add the customer to the order, then tap the information icon to launch the modal. On the customer information modal, a list of all relevant loyalty rewards are displayed. Each loyalty line displays the criteria required (the number of points) and the reward name. If the customer is eligible to redeem the reward, the quantity input will be active and you'll be able to redeem one or multiple of each. Confirm the quantity and tap Apply reward to deduct the loyalty reward from the total value.

Apply a promotion

Promotions are automatically applied to the order based on promotions predefined in the back office. The promotion name will be displayed on the relevant product tile(s) and the total promotion savings will be displayed beneath the sub-total amount. Loyalty and promotion savings are deducted from the sub-total.

If the promotion includes a free product, the cheapest product will be added as the free product. If multiple promotions are valid, the promotions with the highest priority will be used.

To remove a promotion from an individual line item, tap the item to launch the modal. There's an option to Remove promotion if you wish to remove the offer from the item. Please refer to the promotions article on how to create and manage promotions.


VAT exemption

If a customer is VAT exempt, orders can be processed as exempt where the customer does not pay VAT by signing a digital VAT exemption declaration. Please refer to the VAT exemption declaration article.


Total to pay

Payment information is shown beneath the order:

  • Sub-total - Total order value inclusive of discounts etc, exclusive of VAT

  • Discount - Total discount if any

  • Promotion savings - Total promotion if any

  • Loyalty - Total loyalty discount if any

  • Tax - Total VAT (VAT % per product is specified in the Saledock back office)

  • Total to pay - The total inclusive of VAT and discounts etc


Process a payment

From the order view, tap the Pay button to display payment view. The total value to pay and payment methods are displayed. Please refer to the process a payment article on how to process orders by each payment method.

Payment methods available on the POS are setup from the back office. Please view the payment method setup article to get started.


Issue a receipt

After payment, you will see the receipt view. Please refer to the receipt article on how to issue receipts. POS printers are available in 2 widths; 2"/60mm and 3"/80mm, please ensure the correct toggle is enabled on the POS settings page.

Receipt template customisations are setup from the back office. Please view the receipt and e-receipt template setup to get started.


Process a refund/exchange

Please refer to the refund/exchange article.


Create a back order

If an item is out of stock, you will see the option to Add to back order. You must have a customer assigned to the sale in order to create a back order.

Assign a customer to the order and tap Add to back order.

You can add an optional internal note to the back order before proceeding.

Once confirmed, the label on the product line item will display as On back order. Continue the order as required, whether this is a layby or taking full or partial payment. Once the order is processed, the line item is displayed on the Back orders list ready to process in the back office.

Create a quote

To create a quote, add items to the order and tap the 3 dots on the top right then Save quote. This generates the order as a quote available to print or email.

Tap Clear quote to clear the active order. The quote is still available to complete at a later date if required from the sales history list. To view only quotes, filter the status to Quotes. Tap the quote order number to view the quote then Continue order if you wish to process it.

Tap Print quote to generate a PDF of the quote available to download and print. You may use this if a client is in the shop and requires a physical quote.

Tap Send quote to launch the email modal. If a customer is already assigned to the order, the recipient name and email address is automatically populated. Amended the email body message as required and tap send. The customer will receive an email with the quote attached as a PDF.


Create a shipment

To create a shipment, tap Ship order on the bottom action row. This feature is useful if you need to ship part or all of the order when a customer purchases item(s) instore.

We recommend adding customer to the order before creating a shipment.

Select the items you wish to ship then tap Next.

If the customer is already assigned to the order with a full profile available, the default address shipping address associated with the customer will be active. If multiple addresses are available, select an alternative address if required or create a new address then tap Next.

The next step is to select a shipping rate whether free or for a fee, if for a fee, select then input the total delivery fee then tap Next. You are returned to the order screen with the address populated beneath the customer name. Tap the address to amended the shipment or Bin to delete the shipment.

Once the order is processed, the shipment is available from back office Fulfil Orders > Shipments. Tap Ship order again from the action bar to amend the existing or create a new shipment if you require multiple shipments on a single order.
