Creating and managing back orders

How to create, manage and action back orders for when items are out of stock

If a customer wishes to purchase an item that is not currently in stock, this can be added as a Back Order from the POS.

Online orders for products on Pre Order, Allow Out of Stock Purchase or Supplier Stock will automatically create a back order.

Create a Back Order

If an item added to an order on the POS is out of stock, you will see the option "Add to back order".

A customer must be assigned to the order, otherwise you will see the below message.

You can add an optional internal note. Click Create Back order then continue the sale as normal.

You MUST create the back order before committing the sale (including layby), stock will not be updated correctly if the sale is committed and the back order created afterwards.

Managing back orders

From the navigation menu on the left-hand side of the Back Office, go to Stock Control > Back Orders.

This screen displays a list of all back orders, grouped by supplier. You can use the available filters to find specific back orders and review their current status.

The Back Orders screen displays the following information for each order:

  • Product Name - The name of the product on back order, including the product variant, such as colour or size.

  • Type - Indicates whether the product is currently out of stock.

  • Note - Displays any additional notes recorded against the back order.

  • Qty - The quantity of the product required to fulfil the order.

  • Order - The reference number of the original customer order. Select this to view the order details.

  • Store - The store associated with the customer order.

  • Customer - The customer who placed the order.

  • Date - The date the customer order was placed.

  • Status - The current status of the back order.

  • Action - Displays the available action(s) you can take to progress the back order.

You can use the filters at the top of the screen to narrow down the list of back orders:

  • All Status - Filter back orders by their current status: New, On Order, Stock available or Fulfilled.

  • All Suppliers - Filter the list to display back orders for a specific supplier.

  • All Stores - Filter the list to display back orders associated with a specific store.

You can also use the search bar to search by order number or customer name.

The Status and Action columns show the current progress of a back order and the actions available to move it forward.

Depending on the status of the back order, the following actions may be available:

  • Request Stock - Create a new purchase order or add the required stock to an existing open purchase order.

  • View Purchase Order - Open the purchase order that the back order has been added to.

  • Fulfil Order - Mark the back order as fulfilled. If payment is still outstanding, this will be flagged.

  • Request Additional Stock - Add the required stock to a purchase order again if stock is available but there is not enough to fulfil the customer order.

These actions allow you to manage the back order from the point the product is out of stock through to fulfilment of the customer order.

Stock levels will not be updated on the product until the back order has been actioned as fulfilled
