How to create, manage and action back orders for when items are out of stock.

Create a Back Order

If a customer wishes to purchase an item that is not currently in stock, this can be added as a Back Order using the Back Office POS. This feature is not available on the POS App.

First, add the customer to the order, then add the item to the order on the Back Office POS. If the item is out of stock, there's an option to add the item to back order. Either click Add to back order, or click the product name or .

A customer must first be added before items are added to the order. If not, you will see the following dialogue if you click Add to back order. The add to back order will not be shown if you click the product name or if a customer is not added to the order.

To add a customer to the order, enter their name, email address or company name and select the matching result. To add a new customer, tap .

Once a customer is added to the back order, click Add to back order and confirm by clicking Create New Back Order in the following dialogue.

The product line will be updated to indicate the item is on back order.

The order will update to confirm the item is on back order. Payment can now be taken as normal by tapping Pay.

Click Pay, to process the sale using the relevant payment method. Once processed, the item will be shown in the Back Orders list.


Manage Back Orders

On the navigation list on the left of the Back Office, go to Stock Control > Back Orders. This will show you a list of all Back Orders grouped by supplier.

Tap All Status to filter through Back Orders so you can see New, On Order, Stock available and Fulfilled. You can also filter by Suppliers and Stores.

Find the Back Order you want to manage. The Action column will tell you which stage the order is at.


Request Stock from Supplier

Tap on Request Stock and select where you wish to request the stock from:

  • A new purchase order

    • Select which store the item needs to be delivered to

    • Alternatively, select to ship the item directly to the customer. This will add the customers delivery address to the purchase order

  • An open but unsent purchase order

  • If you have multiple stores/warehouses, and have stock in another store, you'll have the option to create a transfer request

Select an option above and click Create/add to order. You'll be returned to the Back Order list, and the status of the back order is changed to On-order with the option to View Purchase Order. Click the purchase order to save and send or mark as sent.

If Ship to customer is selected, this will be displayed on the purchase order. Once the supplier provides confirmation that the customer has received the goods, mark the purchase order as received to clear the item from the Back Order list. The person icon on the line item, indicates the item is allocated to a back order.

For back orders, received in store, confirm receipt of the purchase order, and the status of the back order is updated on the Back Order list.

In the Actions column, you should now be able to tap Fulfill Order or Request Additional Stock. If the customer has not yet paid for the item, the option will appear when fulfilling the order as a reminder. You can then tap Fulfil Order to close the request and clear it from the back order list.

Bulk Back Order Fulfilment

To fulfil back orders for a single supplier in bulk, create a Purchase Order and select Add products from open back orders? This will add all items with an action of Request Stock on the Back Order list straight to the purchase order.
