Available payment methods
To configure your payment methods, go to Settings > Payment methods in the back office. Click + payment method and select a payment type:
Cash
Card
Gift card
Invoice
Store credit
Cheque
Bank transfer
Scheme Provider
Other (can be used for different finance options)
To create a payment method, give the method a name, select which store(s) the method can be used and select the method type. Ensure the method is set to Active; only active methods will appear on the POS app. You can also select if this method appears as a refund method on the POS by ticking the Allow refunds option.
Once a payment method type is selected, a default icon will be displayed, you have the option to change the icon from a library of icons available.
A report is available for gift card sales, store credit issued, on-account sales, layby sales. Please refer to the payment methods article on how to process payment methods on the POS.
Cash payments
To create a cash payment method, select cash as the type. Ensure all fields are populated as required and click save. If the payment method is active, this will appear as a payment option on the POS app.
As an optional feature, you can select "Enter cash denominations when opening and closing register". If this is selected, you will simply enter the quantity of each coin/note when cashing up and the total will be calculated automatically for you.
Card payments (including integrated payments)
To create a card payment method, select card as the type. Ensure all fields are populated as required and click save. If the payment method is active, this will appear as a payment option on the POS app.
If you are using Paymentsense or Dojo, select the option under Payment Integration. The default icon will be displayed to match the payment provider, and an Account setup section will be displayed.
Enter the Host URL and API key provided by Paymentsense or Dojo, you'll have received this information directly from Paymentsense or Dojo via email. Alternatively please contact your Paymentsense or Dojo account manager for assistance.
Once the details have been entered, click Connect then you'll be asked to connect a TID which is the unique ID for each terminal/card machine in case you have multiple card machines. Once you connected, the payment total will be sent to the card machine when you select card (or the card method name specified) as the payment type.
Gift card payments
To create a gift card payment method, select gift card as the type. Ensure all fields are populated as required and click save. If the payment method is active, this will appear as a payment option on the POS app. To sell gift cards, ensure gift card have been setup in the back office gift cards page.
Issue an invoice
Customers can be issued an invoice to be paid at a later date. Invoiced sales are committed to stock and financials for the day they are invoiced. You can set your invoice terms and include your bank details in the message on the invoice for your customer to pay. If you have connected your Xero account, a Xero invoice will be generated instead of a Saledock generated invoice so you do not need to add the invoice settings.
All on-account sales can be viewed and managed from the On-account report.
Store credit
Store credit can be issued to a customer in pace of a refund to then be spent at a later date. Ensure you tick "Allow Refunds". A customer must be assigned to a POS order to use store credit.
Scheme Provider
To create a scheme provider payment method, select scheme provider as the type (you can change the default bicycle icon, which appears on the POS payment screen). After selecting the type, search for and add a scheme provider - this must be an existing customer, so create them first if needed.
You can search by contact name, company name, account number, or email address, then add them to the list. If applicable, enter a commission percentage and/or enable a required code for invoice authorisation. Please refer to the scheme provider article on how scheme sales are processed.
Cheque
To create a cheque payment method, select cheque as the type. Ensure all fields are populated as required and click save. If the payment method is active, this will appear as a payment option on the POS app. Please manually confirm the cheque has cleared with your bank.
Bank transfer
To create a bank transfer payment method, select bank transfer as the type. Ensure all fields are populated as required and click save. If the payment method is active, this will appear as a payment option on the POS app. Please manually confirm receipt of the bank transfer with your bank.
Other
You can use Other for any other payment option you wish to use. This could be different finance options. If you are using Xero, all payment methods created will be displayed on the Xero setup page so each can be individually mapped to the respective accounts in Xero.
