To get started download the Saledock POS app from the Sunmi or Landi Store. You'll require a Saledock account to login to the POS app.
If using Windows or an android device not purchased through Saledock, reach out to Support via email or the back office web chat to request the download link.
The app is not available on Mac or iOS.
Login
Upon initial login, you will be asked to sign in using your Back Office account details.
This authenticates the Back Office account to your POS app, linking the two. After signing in, register the POS device by selecting the store the POS will trade from and assigning a name to the register.
The register name is used to identify end-of-day reports and sales history locations within the Back Office. This registration is a one-time process unless the POS app is uninstalled and reinstalled.
As an admin, you can enable PIN access from the Settings page in the Back Office. For security and accountability, we recommend giving each staff member their own account with a unique PIN.
To log in, tap the circular profile tile. User initials are displayed on each tile to help identify the correct profile.
POS navigation explained
The left navigation where the icons are displayed vertically is how you navigate between different sections of the app. In order of appearance:
Sell - The primary screen used to process sales
Sales history - View all orders, filterable by status
Click and collect - Process a click and collect order generated from online orders
Customers - Search, manage or add new customers
Cash management - Manage cash movements unrelated to a sale.
Close register - Daily end of day closure to generate the end of day report
Switch user - Switch users partway through an order, ensuring the appropriate user completes the transaction. For example, a user may have started an order but does not have user permission to add a discount, switch to a user that does to add the discount, then switch back to allow the original cashier to complete the sale
Settings - Customisations and hardware setup
Help centre - An external link to the help centre
Logout - Returns you to the login screen with user profiles
User - The circular user profile at the bottom indicates who is currently logged in.
Hover over any icon to view the page/functionality name each icon represents.
The bottom action bar available on the sell page allows you to:
Toggle between quick keys (default) and categories
Add a quick sale or refund
Create a shipment
Add whole order discounts
Sell gift cards and check gift cards balances
Further actions on the sell page are available in the top right, including from the 3 dots:
Save order for later
Void a sale
Add a note
Add a customer reference
Create a quote
POS settings
If you are an admin or your user role includes access to the settings page, you have the option to set the following customisations:
Logout after payment enabled? - Automatically logout staff after each transaction
Receipt view enabled?
Printer paper width 60mm/80mm - Specify the receipt paper width; either 60mm or 80mm
Print duplicate receipts? - Enable if you wish to print 2 receipts per sale
Item discounts enabled? - Whether discounts can be applied to items or only the whole order
Customer email required? - Enable the customer email address as a mandatory field upon customer creation
Display stock level alerts? - Enable to display stock alerts when an item is added to the order
Open Cash Drawer for all payment types? - Opens the cash drawer after every sale
Display basket line total price? - Enable if you wish to see the total price if multiple quantities of the same item is added. For example, add 2 and the price would be displayed as (£10ea) £20
If you've bulk uploaded new products, it may take up to 15 minutes to display the product. For speed, tap the Full sync button displayed beneath the customisations. Please don't tap this repeatedly or the process restarts.
If asked by support, tap the Upload diagnostic logs button. This action will help the support team diagnose better if you experience any issues.
Back office settings
Settings for the POS are also configurable from back office Settings > Configuration such as enabling the VAT exemption functionality.
You can also create predefined return reasons, discount reasons and cash movement reasons from back office Settings > POS configuration.
Payment methods available on the POS are setup from the back office. Please view the payment method setup article to get started.
Connect a printer, scanner and cash drawer
If using a Landi or Sunmi device with an internal printer, the printer automatically connects. If using a USB scanner, this also automatically connects once the scanner has been plugged into the rear USB slot. Upon connection, if the scanner does not scan, go to app Settings > Printers and scanners.
To manage devices tap Search for devices. The printer and scanner should show as connected on the left panel. If you have connection issues, or if the devices do not show as connected, tap a device available to connect on the right panel. Once it is active, the device will appear under the relevant Active printer or Active scanner header on the left. Follow the same process to connect the secondary printer. Tap the bin icon with the active tile to remove the active device. The device will then appear under the available devices list again on the right.
If there are no connected devices, tap the Search for devices button. A list of all available devices are displayed. If no devices are displayed in the right panel, swipe down in the list or tap the retry icon in the top right to refresh.
If you are using a Bluetooth printer, first ensure Bluetooth is switch on and the device is paired with the printer from the device Bluetooth settings prior to connecting the printer on the app. Each device tile displays a device type icon (printer, scanner or unknown), device name and connection type icon (Bluetooth, USB or ethernet).
USB scanners connected via the printer will only appear as available devices once the printer itself is connected. Upon printer connection, the USB scanner will automatically try and connect but you may need to do this manually if the automatic connection fails.
Tip 1 - The Sunmi scanner name appears at NS021.
If you are in a hospitality setting and wish to print to a second printer (such as a kitchen printer), enable the second printer toggle. Card machines and cash drawers will not be shown as connected devices.
Troubleshooting
Is your scanner or printer not working after connecting? - Logout and restart the app to trigger a connection. This may on occasion occur on first connection
Does your printed receipt show formatting issues? - Ensure the printer width toggle is set to the correct width. If it is, toggle the width to the opposite one you need, wait a few second then toggle back to the correct one. Logout and restart the app to trigger a connection. This may on occasion occur on first connection
The cash drawer is not working? - Ensure this is plugged into the correct cash drawer slot. A cash drawer icon is often displayed above the correct slot. Make sure you don't plug it into the ethernet slot as these can look similar.
Connect a card machine
Please refer to the payment methods article on how to create payment methods and connect Dojo, Paymentsense and Shift4 integrated payments to Saledock.
Open register
Once you are setup, the first user to login each day will need to open the register. You have the option to specify an opening float and add a note before opening the register.
If you have Cash Denominations enabled within the payment methods, you will see a cash button on the line of the opening float. Tap this and enter the quantities of each coin/note, the system will add up the value for you.
Tap Open register to open the register, if a cash drawer is connected the drawer will also open so you can add the opening float. Each time the register is closed the user will see the open register view ready for the next time the register is opened.
Close register
It is advised that the register is closed at the end of each day. The close register view displays the register summary, cash summary and payment transactions.
Before closing the register tap the 3 dots in the top right then Open cash drawer. You will generally do this to count your cash at the end of the day, however you can also add or remove cash as needed throughout the day. Cash Movement reasons are set up within the POS Configuration settings page in the back office.
The expected cash value is automatically calculated. Enter the counted cash value and an optional note. Any discrepancies between the expected and counted cash will be shown.
If you have Cash Denominations enabled within the payment methods, you will need to tap the cash icon to enter the quantity of each coin/note when cashing up. The modal will add up the cash value for you.
Tap Print Report in the top right to print the end of day report before closing the register. This is not required if you are mainly using the back office reports as a digital end of day report is generated in the back office.
Tap Close Register to close the register. Please ensure you print the end of day report before closing. The register cannot be closed if there are open orders. Either save, void or process the order(s) to close the register.
Cash movements
If cash is added or removed from the cash drawer that is not associated with a sale, the cash movement can be recorded. By default, the Opening float is added to this record.
Tap the Cash in or Cash out button the top right to record a cash movement.
Specify the amount and the reason for the cash movement. Reasons can be pre-defined from within the POS Configuration Setting page in the back office.
End of day report
The end of day report displays:
Register name, printed by, date and time printed
Breakdown of transactions by category, including total quantity sold and total value for each category
Breakdown of refunds by category, including total quantity returned and total value for each category
Sales
Gross - Total value of all sales excluding discounts and refunds
Discounts - Total value of discounts given
Refunds - Total value of refunds given
Net sales - The Gross value minus discounts and refunds
Liabilities - Total outstanding balance of gift card sales and store credit
Laybys - Total value of layby sales (outstanding balances)
Total takings -The Net sales value minus layby sales
VAT breakdown per VAT category
Breakdown of payments by payment type (cash, card and gift card) and sale type (payment and refund) with a total amount (total payments minus total refunds)
Number of items sold (refunds are not included)
Number of transactions
The cash movements on the digital End of day report available in the back office can also be edited (complete with audit) if you notice an error.
If using Dojo, Paymentsense or Shift4, the card machine will automatically print an end of day transaction log when you close the register on the POS app. A digital version of this will also be available from each end of day report shown in the back office.
